Data collection via Hotelinking’s WiFi module is one of the main assets we offer our clients. This data is validated in real time and verified in compliance with the GDPR regulation.

However, there is valuable transactional information in the PMS that will help enrich the data even more, allowing segmentation variables to increase. That’s why we offer the possibility to enrich the database with the PMS with our premium Portal Pro feature.

What is Portal Pro?

The integration consists of creating a link between Hotelinking and the hotel or chain’s PMS, in order to retrieve information and cross it. Once the integration with the PMS is done and the Portal Pro is activated, the user who connects through the WiFi can be validated in real time.

By entering data such as surname and room number, we can validate with the PMS to verify that said user/customer is staying at the property. For this, the guest needs to be checked in.

After validation, and with a parallel process, Hotelinking will import the designated fields of interest (booking channel, room type, etc.) next to the user’s profile within the Hotelinking system.

This data is always available for the hotel, to download or import into the CRM and thus use it in marketing campaigns.

Why is it important to integrate your database with the PMS?

The integration results in rich customer data, more complete profiles that lead to a better understanding of guests.

This, in turn, enables greater segmentation when launching marketing and loyalty campaigns, so a hotel can more easily recognise and reward its loyal customers and provide personalised advantages.

The data collected through the captive portal (such as the verified guest email and GDPR status, together with those in the PMS such as the booking channel, room type, board type, number of adults in the reservation, number of children in the reservation, extra expenses during the stay, etc.) allow to have a much more complete and detailed list of customers to segment with much more precision in email campaigns.

What’s new in the captive portal

The change we have implemented is an improvement to the captive portal in which the forms for guests and customers have been unified on one screen, with a tab for each type of user.

In this new captive portal, guests must fill out the form in the “I’m a guest” tab, which will always be active by default.

The fields requested in this tab are the usual ones: name, surname and room number. This data is validated with the PMS to verify that the customer is indeed a guest. If the data entered is valid, they will get access to connect to the internet.

In the case of being a customer who is not a guest, the “I have a code” tab is available.

This section is designed for those customers who do not spend the night at the hotel but enjoy a “Day Pass” or a service offered by the accommodation. These access codes must be provided at the hotel reception.
